Volunteer Code Of Conduct
Victoria Hospitals Foundation (VHF)
Purpose
The purpose of this Code of Conduct is to outline the expected behavior of all volunteers to ensure a safe, respectful, inclusive, and supportive environment for clients, staff, and fellow volunteers. It reflects the organization’s commitment to ethical standards, professional integrity, and community responsibility.
Scope
This policy applies to all individuals who provide volunteer services at or on behalf of the Victoria Hospitals Foundation including in-person and virtual activities, events, and programs.
Principles of Conduct
All volunteers are expected to uphold the following principles:
- Respect: Treat everyone with dignity, courtesy, and respect regardless of race, gender, ethnicity, religion, disability, sexual orientation, or age. Act in accordance with VHF’s policy of Workplace Prevention of Harassment and Bullying.
- Integrity: Act with honesty, transparency, and accountability in all dealings related to the organization.
- Confidentiality: Maintain the confidentiality of any personal, medical, or proprietary information to which you may have access.
- Safety: Adhere to all VHF safety protocols, refrain from actions that could endanger themselves or others, and report any unsafe conditions or incidents immediately.
- Professionalism: Represent the organization positively and refrain from engaging in behavior that could damage the organization’s reputation.
- Dependability: Arrive on time, complete agreed-upon duties, and notify your supervisor promptly if you are unable to attend your shift.
Unacceptable Conduct
The following behaviors are strictly prohibited and may result in disciplinary action, including dismissal:
- Discrimination, harassment, or bullying of any kind
- Use of offensive, abusive, or inappropriate language or gestures
- Possession or use of alcohol, drugs, or weapons while volunteering
- Theft, fraud, or misuse of organizational property
- Breach of confidentiality
- Physical or verbal aggression
- Misrepresentation of authority or qualifications
Conflict of Interest
Volunteers must avoid situations where personal interests conflict—or appear to conflict—with the interests of the organization. Volunteers must disclose any actual or potential conflict to their supervisor.
Use of Organizational Resources
Volunteers must use organizational resources (including equipment, branding, and digital platforms) only for authorized purposes and not for personal gain or external advocacy unless approved.
Dress Code and Presentation
Volunteers are expected to wear appropriate attire suited to their role. Name badges or volunteer identification must be worn when on duty, if applicable.
Communication
All communication (verbal, written, or digital) made on behalf of the organization must be respectful, accurate, and pre-approved if representing the organization publicly (e.g., media, social media, etc.).
Reporting and Accountability
Volunteers are encouraged to report concerns or breaches of this Code of Conduct to the Volunteer Coordinator or Supervisor. Reports will be treated confidentially and handled in accordance with the organization’s complaint or grievance procedures.
Disciplinary Action
Non-compliance with the Code of Conduct may result in the following actions, depending on severity and frequency:
- Verbal or written warning
- Suspension or termination of volunteer assignment
Serious misconduct may result in immediate dismissal without warning.
